By entering your film for consideration, you authorize your work is cleared for festival exhibition and accept full legal responsibility for the intellectual property therein. Entry into the festival constitutes permission to exhibit your work at the Roswell Film Festival and related events, social media, etc.
Each entry must be accompanied by a completed Entry Form via Film Freeway, paid Entry Fee and submitted for digital review on Film Freeway. Foreign language work must be dubbed or subtitled in English.
If selected to be shown at the Roswell Film Festival: You must send in your film in DCP format using the provided AUTODCP submission platform (a jump or hard drive may be used in extreme circumstances), our Theatre will ingest for playing during the festival. ALL submission and/or Shipping and Handling costs are your responsibility both sending to us and returning to you. If you want your hard drive returned, you must include return shipping prepaid packaging and labels. DCP must be in Windows format NTSC or exFat (EXT3 WILL NOT WORK), 24FPS, formatted as FEATURE and SCOPE for full widescreen or FLAT for standard. It is not the responsibility of the festival or theatre to fix it for you. We suggest using DCP O’Matic software if you do not have access already to DCP rendering through your software or studio. A festival digital copy for archival records is also required and can be done via download in MP4 format to the festival. We will not download your DCP copy, it must be sent in on via AUTODCP. Following the formatting instructions is crucial as there are several different ways to create a DCP and various theatres handle them differently. The specifications above are what this screening theatre requires, no exceptions. We will not create a DCP for you.
If selected: Film Posters of your film must be mailed in weeks in advance to be displayed at the theatre. You can send in posters via mail or order local prints for the festival to pickup at Southwest Printers, 575-622-1820.
All films are subject to reviews and rejection. Content acceptability will be established by the Festival. Any content above what constitutes an “R” rating will automatically be disqualified. AVOID submitting politically motivated/slanderous and overtly or explicit sexually oriented/motivated films. Entry materials will not be returned and will be destroyed or discarded by the Festival. Festival will retain a copy of your film for archive purposes.
All submissions are handled fairly and equally. We encourage you to submit as early as possible. All entries will be viewed by the selection committee. The Festival will make no cuts or changes to your film (except when creating clips for use in Festival video marketing). All selected entrants will be notified by email through Film Freeway (be sure to have your email system set to accept email notifications from Film Freeway to avoid your SPAM/JUNK folder causing you to miss our messages). The Festival reserves the right to make any necessary changes in scheduling. We will not transfer PAL for viewing — only send in NTSC format. Festival or Theatre will not be responsible for special projection settings for the showing of your film, it is your responsibility to render your film ready for Theatre showing.
The number of screenings, days and venues is at the sole discretion of the Festival.
Cost of shipping is the responsibility of the entrant. Film copies must be sent to the festival prepaid. C.O.D.’S will be refused. The festival cannot accept responsibility for damage or loss of materials while in transit. Please do not send us masters, originals, your only copy, etc.
If selected, send a press kit for use in the festival. Digital Media (i.e. social media items, film synopsis for promotions, digital poster, film trailer links, etc.) can be sent to firstname.lastname@example.org. Mail items (i.e. posters, cards, etc.) can be sent to the below address information. Physical materials will not be returned and must remain available for the duration of the Festival dates. The festival reserves the right in deciding the content released and where it is released. It is recommended to send materials in as quickly as possible for promotional purposes through our networks and to be included in our Official Festival Program, Website, Theater and Social Media outlets.
Roswell Film Festival is hereby granted the right to utilize an excerpt from any film submitted and accepted for promotional purposes. The individual or corporation submitting the film hereby warrants that it is authorized to commit the film for screening to the public, and understands and accepts these requirements and regulations.
Entrant shall indemnify and hold harmless the Roswell Film Festival and any other agents, owners and employees of said entities from and against any and all claims, liabilities, losses, damages, and expenses (including but not limited to attorney’s fees, and costs of the court) which may be incurred by reason of any claim involving copyright, trademark, credits, publicity, screening, and loss of or damage to the screening videos entered.
